Folders: Organize your libraries

ReelCrafter's libraries (Playlists, Reels, Audio, Video, Images, and Files) each have their own folder system. Folders work the same way across all libraries.

The folder sidebar

The folder sidebar appears on the left side of each library. It shows:

  • Unfiled — Items that haven't been moved to a folder yet
  • Your folders — Any folders you've created
  • Smart Folders — Tag or search-based folders that update automatically (Professional plan). See Smart Folders — Automatically organize your library.
  • All [Items] — At the bottom, a smart folder that shows everything in this library regardless of which folder it's in (available on all plans)

Click any folder name to view its contents. Use the Filter folders field at the top to search for folders by name.

Next to "Folders" at the top, you'll see two icons: one to create a new folder, and one to create a new Smart Folder.


Creating a folder

In the folder sidebar, click the folder-plus icon next to "Folders" at the top. Type a name and press Enter.

Folders are sorted alphabetically. There's no limit to how many folders you can create.


Folder icons and numbers

Each folder displays icons and numbers to show what's inside:

  • First number (📁) — Number of subfolders directly inside
  • Second number (item icon) — Items directly in this folder
  • Third number (Σ) — Total of all items including subfolders

For example, "2 📁 16 🎵 24 Σ" means: 2 subfolders, 16 tracks in this folder, 24 total items when you include subfolder contents.

Folder icons also indicate structure:

  • Folder with + — Has subfolders, click to expand
  • Folder with − — Has subfolders, currently expanded
  • Plain folder — No subfolders
  • Lightning bolt folder — Smart folder

Moving items to a folder

There are three ways to move items:

Drag and drop

Drag any item from the library view onto a folder in the sidebar. You can also drag items onto Unfiled to remove them from their current folder.

Note: You can't move items into Smart Folders or "All [Items]"—they're dynamic views, not storage locations.

From the library view

  1. Select one or more items using the checkboxes
  2. Click Move to folder in the toolbar (or use the three-dot menu)
  3. Choose the destination folder

You can select items across folders from the "All [Items]" view and move them all at once.

From the detail page

  1. Open the item's detail page
  2. Click the three-dot menu in the upper right
  3. Select Move to folder

Subfolders

You can nest folders inside other folders to any depth.

To create a subfolder: Click the three-dot menu on any folder and select Create subfolder.

To move a folder into another folder: Drag the folder onto the destination folder in the sidebar.

To move a subfolder back to the top level: Click the three-dot menu on the subfolder and select Make top level folder.


Renaming or deleting a folder

Click the three-dot menu on any folder you've created to rename or delete it.

What happens when you delete a folder? The items inside move to Unfiled—they're not deleted. Empty folders persist until you manually delete them.


Where do new items go?

It depends on where you are when you create or upload:

  • From a folder or subfolder — New items go into that folder
  • From Unfiled — New items go to Unfiled
  • Using "Create reel" in the top navigation bar — New reels go to Unfiled

This works for all item types (reels, playlists, audio, video, images, files) and for both uploads and newly created items.

Note: The "All [Items]" and Smart Folder views are read-only—the create button is hidden. Switch to a regular folder or Unfiled to create or add new items.


Tips for staying organized

  • Create from within a folder to save items there automatically—no need to move them later
  • Use "All [Items]" when you're not sure where something is—it shows everything in that library
  • Check Unfiled if you can't find something you just created
  • Use the Filter field to quickly find folders by name
  • Name folders by project or client so you can find related items quickly
  • Use subfolders for large projects with multiple categories

Common questions

Can I reorder my folders?

Folders are sorted alphabetically automatically. You can't manually reorder them, but you can use numbers or prefixes in folder names (like "01 - Project A") to control the order.

Can I create folders inside folders?

Yes. Use the three-dot menu on any folder and select "Create subfolder." You can nest folders to any depth.

What's the difference between "All [Items]" and Smart Folders?

"All [Items]" shows everything in a library regardless of folder. It's available on all plans. Smart Folders (Professional plan) let you create custom filtered views based on tags or search criteria that update automatically.

Can I move multiple items at once?

Yes. Select items using checkboxes, then use "Move to folder" in the toolbar. You can also select items across folders from the "All [Items]" view.

What happens to items when I delete a folder?

Items move to Unfiled—they're not deleted. Only the folder itself is removed.

Can I delete the Unfiled folder?

No. Unfiled is a built-in folder that can't be deleted or renamed. Any item without a folder assignment automatically appears there.
